Start with the people at the counter

The best GST billing software is the one your staff will actually use. Before you look at feature lists, watch how a bill is made today. How many seconds does it take? Who types the item names? What do customers ask for most: a printed bill, a phone copy, a discount, a credit entry? Write these down, because they are your real requirements.

A tool that takes thirty clicks to make a bill will be replaced by the old notebook within a week. During a trial, give it to the slowest and the busiest person on your team, and watch where they get stuck.

Check how tax is handled

Tax is the reason you are buying the software, so test it properly. Create a bill for a customer in your own state and check that the tax shows as CGST and SGST. Create one for a customer in another state and check that it shows as IGST. Add a discount and check that the tax is calculated after the discount and not before.

Look at how the tax rate is stored. The simplest method is a rate saved against each HSN code, so that nobody types a rate at the counter. In Effy Order this is the HSN-wise tax profile. Ask also how returns are handled, because a credit note and a debit note should be part of the software and not a separate sheet.

Look beyond the bill

A bill touches your stock, your customer record and your reports. If the software makes the bill but does not update stock, you will keep a second register and the two will never agree. Check that a sale reduces stock, that a purchase adds to it, and that a report shows what you sold and what you collected.

Ask which reports exist. A GST report with a date range, a sales report, an inventory report with low stock and valuation, and a day-end closing report cover the questions an owner and an accountant ask most. You can read more about each of these on our pages for GST report software and sales report software.

Devices, printing and language

Think about the device on your counter. Some tools need a particular computer, while others run in a browser on anything. A browser-based tool such as Effy Order works on a computer, a tablet or a phone, and you can open it from home to check the day. It does need an internet connection, so check that your shop has a steady one.

Check printing too. If you use a thermal roll printer, make sure the receipt layout fits your paper. If your staff are more at ease in Tamil, check that the app offers it. Effy Order can be used in English or Tamil.

Price, trial and exit

Compare the full price for the plan you really need, not just the lowest advertised number. Check the limits on each plan, such as the number of orders per month, and whether features like employee tracking are included. Plans for Effy Order start at ₹199 per month, and the plans that offer it begin with a 30-day free trial.

Finally ask about leaving. Can you download your reports, items and customers if you change your mind? Good software does not hold your data hostage. Whatever you choose, enter a week of real bills during the trial and compare the stock and the totals with your own records before you pay.

Shortlist test

Five-minute test for any billing software

Run the same short test on every product you are considering, and compare the results side by side.

  • Make a local sale and an inter-state sale and compare the tax split.
  • Add a discount and a delivery charge and check the total.
  • Return one item and see what happens to stock.
  • Download a report for the day.
