A shop bill has to be quick to print, easy to read and correct on tax. This page looks at the practical choices a retail counter faces and how Effy Order handles them.
A company that sends a few large invoices a week can afford a detailed document. A retail shop prints many small bills a day, often for customers who never ask for anything beyond a total. The bill still has to be correct, but it also has to be fast and short enough to print on a receipt roll.
Our page on the GST invoice format in India lists what a tax invoice carries. This page looks at how a shop works with those details day to day. The exact requirements depend on your registration and the kind of sale, so confirm them with your accountant.
Most retail goods have a printed MRP, and the shop sells at or below it. Decide how you want the bill to show this. The bill should make it easy for the customer to see what they paid for each item, with quantity, rate and amount on one line, and the tax shown in a way that matches how you registered.
In Effy Order you keep the selling price on the item, with an HSN code so that the tax rate is picked up automatically. When goods are bought in batches at different prices, a batch can carry its own selling price. A POS billing look is available for a supermarket-style checkout.
Counters give discounts all the time, sometimes on a single item and sometimes on the whole bill. Because discounts change the value on which tax is calculated, they should be entered in the software and not subtracted by hand after the total. Effy Order supports item-wise and overall discounts, as a flat amount or a percentage, and calculates tax after the discount.
If you charge for carry bags, packing or delivery, enter it as an additional charge so that it is part of the bill and the tax is handled with it. Many shops have a settled way of rounding the final amount. Agree it with your accountant and use it every time so that your daily totals are consistent.
When a customer brings an item back, do not cut a line out of the old bill with a pen. Create a credit note, which keeps the original bill as it was and puts the item back into stock. That leaves a clean trail if anyone checks later.
For printing, many shops use an 80 mm thermal roll. Effy Order has a thermal receipt layout. For a clean print, choose the roll paper size in the printer settings and switch off browser headers and footers. Warranty details can be printed against each item, which helps for electronics and appliances.
Before you go live, make three practice bills: one with a single item, one with a discount and one to a customer from another state. Print each one on the printer you will really use, and ask a staff member who was not involved in the setup to read it and explain it back to you. If they can say what was bought, what tax was charged and what the total is, the format works for your counter. If they hesitate, adjust the layout or the item names until a customer would not hesitate either.
